Facility and Office Management Specialist (Part-time)

Facility and Office Management Specialist (Part-time)
Your responsibilities will include:
Taking care of the Office:
- Serve as SPOC and handle relationships with office provider/landlord
- Serve as SPOC for the reception
- Ensure that common areas are fully equipped and functional; prepare and maintain instructions for use of premises equipment (kitchen, furniture, electrical appliances, etc)
- Manage the process of delivery and distribution within the office
- Ensure compliance of employee’s parking and seating, act upon tickets from Deskbot, DTSE CZ Service Zone
- Health and Safety, Fire Protection – maintenance of compliance of premises, implement and maintain the OHSMS, documentation and record-keeping
- Ensure Conformance to the ISO Standard
- Pool car – oversee reservation, correctness of bookings, maintenance of good technical condition
- Handle post and invoices, answer routine questions, furnish information or refer the requests to the most appropriate staff, so as to preserve an efficient agenda
Taking care of our guests/visitors/events:
- Ensure proper registration of visitors
- Organization of catering and refreshments for internal events
Procurement support:
- Shopping carts creation, goods receipts creation, communication with procurement, approvers, controlling
- Act upon tickets from ticketing tool/emails
- Projects support – furniture, space design, office improvement, support to IT
- Reporting
What we expect from you:
- Native Czech / Slovak and fluent English
- Customer-Service Skills: You are the first impression of our company. A successful candidate will be friendly, welcoming, organized and knowledgeable about the company
- Computer Skills: You will need to answer emails, create and manage schedules, work with Microsoft Office (Outlook, Word, Excel, PowerPoint); create shopping carts in SAP tool
- Communication Skills: Listening to customers and management, speaking in a clear and friendly way over the phone and face-to-face are essential skills; You have excellent written and verbal communication skills
- Growth mindset: You shall possess excellent time management skills and ability to multi-task and prioritize work; You have attention to detail and problem-solving skills. You have strong organizational and planning skills in a fast-paced environment, and you have creative mind with an ability to suggest improvements.
- Ability to be present in the office every day
